What data do we collect?

Threadsense collects the following data:

  • Personal identification information that you choose to give us when you contact us through the website — your name, email address, and the content of any message you send us.
  • Technical and usage information collected automatically when you visit the site — including your IP address, browser type and version, device information, the pages you visit, and how you interact with them. How do we store your data?

Threadsense securely stores the data submitted through our website. Contact form submissions are delivered to us by email through our form provider and held in our business email account. Our website is hosted on secure servers located in Germany (within the European Union). We apply appropriate technical and organisational measures — including encryption in transit (HTTPS), access controls, and reputable, security-focused service providers — to protect your data against unauthorised access, loss, or misuse.

How long do we keep your data?

We keep your personal data only for as long as we need it:

  • Contact enquiries (your name, email and message) are kept for up to 12 months after our last contact with you, unless our continuing relationship means we need to keep them longer. After that, we delete them.
  • Website analytics data is retained in line with Google Analytics' data-retention settings, which by default range between 2 and 14 months.
  • Server access logs are typically retained for up to 90 days by our hosting provider before being deleted.
  • Newsletter subscribers — we keep your email address and subscription details for as long as you remain subscribed. When you unsubscribe, we remove you from our active mailing list.

Who do we share your data with?

We do not sell your data. We share it only with the service providers who help us run our website and respond to you. These are our data processors, who act on our instructions:

  • Web3Forms (operated in the United States) — delivers the messages you send through our contact form to our inbox.
  • Google LLC (United States) — provides Google Analytics, which we use (only with your consent) to understand website usage.
  • Cloudflare, Inc. (United States) — provides our content delivery network, DNS, website security, and email routing.
  • Hetzner Online GmbH (Germany) — provides the hosting for our website.
  • EmailOctopus (a service operated by Three Hearts Digital Ltd, United Kingdom) — delivers our email newsletter and manages our subscriber list. Subscriber data is stored on servers within the European Union.

We may also disclose your data if we are required to do so by law, or to protect our legal rights.

International transfers of your data

Some of our service providers are based outside the United Kingdom, including in the United States. Whenever we transfer your personal data outside the UK, we make sure a similar level of protection applies by relying on one of the following safeguards:

  • UK 'adequacy' regulations — including the UK Extension to the EU–US Data Privacy Framework, where the provider is certified under it; or
  • The International Data Transfer Agreement (IDTA) or the UK Addendum to the EU Standard Contractual Clauses, together with the data processing terms published by each provider.

Our hosting is provided within the European Union (Germany), which the UK recognises as providing an adequate level of data protection.

Our email newsletter provider, EmailOctopus, is based in the United Kingdom and stores subscriber data within the European Union. Your newsletter subscription data is therefore not transferred outside the UK or EU.

Marketing

If you contact us about our services, we will use your details to reply and to follow up on that specific enquiry. We will not add you to a marketing list or send you unrelated marketing without your clear, separate consent.

If at any point you have agreed to receive marketing from us and later change your mind, you have the right to stop us from contacting you for marketing purposes at any time. To opt out, simply reply to any message asking us to stop, or email us at [email protected].

You can choose to subscribe to our email newsletter through our website. If you do, we will send you that newsletter until you choose to stop. You can unsubscribe at any time using the unsubscribe link in any newsletter email, or by emailing us at [email protected].
